Residential Manager of Accounts Payable and Payroll

Job Description

Main Duties:

  • Supervise The Accounts Payable and Payroll Department and staff
  • Ensure that system policies and procedures adhere to company policies while functioning with accuracy and timeliness
  • Ensure that the accounts payable obligations are met efficiently
  • Participate in the oversight of all payment transactions such as EFT, wires, and paper cheques and ensure that proper accounting records are maintained
  • Oversee the data entry, validation, and processing of several types of invoices and employee reimbursements. Seek clarification or explanations from invoice approvers when warranted
  • Collaborating closely with The Residential Director of Finance, standardize processes to generate in-house efficiency
  • Review vendor statements and facilitate the clearing of all past due invoices, as necessary
  • Provide accurate and timely statistical reporting on the metrics related to employee processing as well as vendor payments processed
  • Ensure the accuracy and timely coordination of bi-weekly payroll
  • Oversee the processing of reports for compensation, taxes paid, garnishments, and deductions
  • Quality assure the timely filing of all payroll-related returns and remittance of statutory payments, such as WSIB and EHT returns
  • Ensure the accuracy of recording all expense information based on supporting documentation
  • Ensure timely invoice batching and entry into the system daily
  • Prepare and issue stop-payments as needed
  • Obtain amendments to purchase orders when necessary
  • Respond to inquiries from suppliers, consultants and clients regarding status payment or other relevant questions
  • Prepare information as required for yearly audit and budget preparation

Other Duties:

In addition to providing supervision and mentorship to the team, the Residential Manager Accounts Payable and Payroll will be responsible for:

  • Participating in special projects related to, but not limited to, the roll out of software upgrades and new software modules
  • Bringing forward ideas for process improvements that will enhance the financial reporting package
  • Participating in the development of a budget process and determine what role Accounts Payable can play
  • Working closely with The Property Managers to ensure their needs are being met and bring ideas forward on how to improve the flow of information between the two teams
  • Establishing lines of communication with other internal departments to resolve any payroll issues
  • Providing coaching and mentoring to all team members to assist them in achieving their best
  • Develop and implement standard operating procedures and process documentation and ensure compliance is consistent
  • Develop and run employee engagement strategies to help build engagement and overall job satisfaction for the team
  • Providing annual job performance evaluations and hold review meetings with all team members

Qualifications:

  • A bachelor’s degree in business administration, accounting, finance, or related field preferred.
  • CPA designation (or working towards).
  • 3 to 5 years in Accounts Payable Administration role.
  • 2 to 3 years experience managing an Accounts Payable Team.
  • 2 to 3 years of Payroll oversight with working knowledge of all payroll regulations, WSIB, EHT, Government Remittances, and ROE’s.
  • Experience with leadership roles and display problem-solving capabilities.
  • Above average Excel skills with an ability to develop dashboard reporting for KPI’s related to the operations of the Accounts Payable department.
  • Strong interpersonal and communication skills to interact with employees, supervisors, and customers.
  • Strong analytical and time management skills.
  • Well planned, organized with attention to detail.
  • Residential property management and experience with Yardi considered an asset but not necessary.
